In this role, you will perform a variety of services in administrative support. 

 

Job Responsibilities:

  • Sets routine priorities and procedures for accomplishing work, subject to applicable deadlines. Performs considerable coordination and follow-through
  • Performs a full scope of word-processing and spreadsheet applications, including merge-mail letters, as well as documents containing financial or statistical data or scientific, technical, or legal terminology
  • Receives calls and responds to routine questions. Gathers routine information from (or makes request of) other executive, professional, team members and/or outside vendors and clients 
  • Schedules tentative appointments and may schedule team meetings per direction of direct supervisor
  • Coordinates with internal and external staff to accomplish moderately complex activities, such as scheduling, developing agendas or gathering material and ordering food and beverage for team meetings
  • Maintains office supplies, technical equipment, and files for the group
  • Coordinates catering for meetings
  • Maintains an organized office environment, including cleaning & stocking break room and catering bar
  • Food supply inventory and ordering
  • Provide backup to front desk as needed
  • Expense Reports – assist in completing and submitting expense reports for Dallas Team members as needed

Education/Experience: 

  • A high school diploma is required; some college or applicable business certification is preferred
  • 1-5 years of office/clerical experience

  • Good organizational skills; attention to detail
  • Keep confidential information
  • Good in Microsoft Office (Excel, Word, PowerPoint)
  • Communicate effectively verbally and in print
  • Provide, as well as carry out, detailed verbal and written instructions independently
  • Collaborate with others to accomplish organizational goals; identify and resolve problems
  • Use logical or rational thinking to solve problems; make decisions based on personal judgment
  • Perform mathematical calculations (fractions, decimals, percentages, statistical) as needed
  • Demonstrate competency in Microsoft Word, including PowerPoint; Prolog if applicable
  • Ability to understand and execute the company vision and values of Team, Excellence, Service, and Trust

Environmental Factors and/or Physical Requirements:

While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, and arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk, and hear.
