The Construction & Manufacturing Team supports all of Haskell’s delivery groups across the company and the projects throughout the United States. The Construction & Manufacturing Team is responsible for providing the field management personnel, from the craft worker to the Project Superintendent. The Construction & Manufacturing Team also provides the team member with logistical support; including but not limited to establishing per diem rates, company trucks for superintendents, and the coordination of arrival for team members as needed on the project. The Construction & Manufacturing Team provides continual training for our team members to support their development from entry-level craft workers, via in-house/online courses, to local jurisdiction apprenticeship programs. Haskell assists with working your way up through the ranks, you’ll find new ways to use both your mind and your hands to get the job done.

 

As the Site Administrative Assistant, you will be the first point of contact for site visitors, ensuring proper sign-in procedures and assisting in various administrative tasks. Your role will also involve managing documentation, overseeing timesheets for field employees, ordering supplies, maintaining the office environment, and assisting the Superintendent with project-related tasks.

 

Your responsibilities will include:

  • Visitor Management: Greet visitors and ensure they sign in on the visitor’s log.
  • Phone Operations: Answer calls, direct them to the appropriate staff member, and manage messages.
  • Documentation Management: Handle delivery tickets, timesheets, and other documents; send to the main office as needed.
  • Timesheet Coordination: Oversee weekly timesheets for field employees and email them to Payroll.
  • Order Processing: Place orders for supplies, materials, and equipment as directed by the Superintendent.
  • Office Maintenance: Keep the office environment clean and organized, maintain files, and update logs.
  • Meeting Support: Take minutes during meetings and distribute them as directed.
  • File Organization: Maintain office files, contracts, and submittals in an organized system.
  • Vendor Communication: Contact vendors for quotes, compare costs, and set up vendor accounts for rentals and supplies.
  • Report Logging: Maintain logs for subcontractor activities, weather, deliveries, and daily reports from the Superintendent.

To thrive in this role, you'll need:

  • High school diploma preferred.
  • Organizational Skills: Ability to organize tasks and files efficiently, maintaining an orderly workspace.
  • Communication: Strong verbal and written communication skills.
  • Technical Skills: Proficiency in Microsoft Office programs (Word, Excel, Outlook) and experience with general office equipment (copiers, scanners, label machines, etc.).
  • Detail-Oriented: Ability to follow detailed written and verbal instructions independently.
  • Physical Requirements: Capable of performing light physical work, including lifting up to 10 pounds, bending, stooping, and other repetitive movements.

Environmental Factors and/or Physical Requirements:

  • Ability to stand, walk, stoop, kneel, crouch, and lift light to medium weights (10-50 pounds).
  • Dexterity to operate a computer, use office equipment, and perform repetitive tasks such as grasping and reaching.
  • Visual acuity to review reports and documentation and perform computer-related tasks.
