Overview

In this role, you will handle a wide range of project administration and executive support-related tasks and should be able to work independently with little or no supervision. You will work in a fast-paced environment and manage the day-to-day business activities of market and project leadership.

 

Your responsibilities will include:

  • Contract Administration 
    • Reviewing contracts and agreements for accuracy and ensuring they match previously agreed to terms
    • Maintaining a library of accepted terms and conditions per agreement type with exemption list per location as required
    • Ensuring the contract log is up to date and notifying the team when items are stalled, or dates are missed
    • Updating stakeholders on contract status and any changes
    • Tracking agreements throughout the process with internal teams (Risk Management, Legal, Leadership, and Project Teams) to ensure contract requirements are met
    • Requesting quotes and information from the Risk Management team on insurances and bonds
    • Recommending improvements to the contracts processes, where possible
    • Completing "contract particulars" with pertinent entity information
    • Ensuring all exhibits are compiled and complete for submission (gathering and attaching)
  • Executive Summaries
    • Drafting executive summaries
    • Gathering and compiling internal information from various parts of the organization
    • Communicating with the client as needed
  • Other 
    • Working with the Business Intelligence team to generate dashboards required to manage business
    • Maintaining and updating organizational charts for the market and projects
    • Drafting and updating responsibility matrix as needed
    • Managing Microsoft Teams file locations 
    • Creating and maintaining process workflows for the market
    • Drafting training material as needed (Microsoft PowerPoint) 
    • Creating meeting agendas and tracking meeting minutes 
    • Coordinating travel, accommodations and maintaining travel log

Education/Experience: 

  • High school diploma required; bachelor's degree preferred
  • Minimum of 5-8 years of administrative/executive support 

To thrive in this role, you'll need:

  • Proficient in Microsoft Office (Excel, Word, PowerPoint)
  • Demonstrated experience with Power BI preferred but not required
  • Demonstrated experience drafting and maintaining contracts/agreements
    • Knowledge of contract terms and legal requirements
    • Proficiency in contract management software desired
    • Certification in contract management desired 
  • Communicate effectively verbally and in print
  • Strong organizational skills, attention to detail and the ability to work under pressure

Environmental Factors and/or Physical Requirements:

 

While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, and arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk, and hear.
